Job Description

Part Time Executive Assistant (Remote) Manage all administrative duties for CEO and Project Manager to optimize business growth. Responsibilities:

• Manage all aspects of CEO’s business and personal calendar; schedule and reschedule appointments.
• Track clients’ used and “banked” sessions, time block for special project work
• Schedule personal and business appointments for CEO as requested
• Work with CEO to prioritize scheduling demands/requests
• Support CEO in lead management and follow up activities; enter leads into CRM with necessary tags
• Assist CEO in proactively moving leads through sales process
• Coordinate with Project Manager regarding unusual client billing; alert Project Manager of changes needed to routine billing, invoice preparation and submissions, etc
• Onboard new clients, both 1:1 coaching/consulting clients and peer group clients
• Collaborate with CEO to manage business and personal email communications
• Establish and maintain email folder system
• Draft, send and manage communication on behalf of CEO
• Prepare documents and presentations for meetings as requested
• Perform various administrative duties such as online research, data entry, mailings, emails and phone calls
• Optional opportunity for attending live networking events and assisting events
• Attend weekly meetings as needed
• Special projects as assigned

Qualifications:

• Flexible work arrangement, minimum of 12 hours required per week, maximum of 20 hours per week; this job requires minimum of four days per week.
• Goal-oriented position. Must be able to work independently to achieve weekly results-focused benchmarks.
• A minimum of 3 years’ experience in an administrative role supporting c-suite or business owners.
• 4-year degree in business or related field preferred.
• Excellent written and verbal communication skills.
• Proficiency with Google platform and applications, CRM and database management.
• Intention for the position to grow into a fulltime role.
• Pleasant demeanor and ability to work with all clients in a professional manner.
